A practical guide to backing up your photos and files

Most people only think seriously about backups after losing something, which is exactly the wrong order to learn the lesson in. The good news is that a solid backup routine today takes very little ongoing effort to maintain, once it’s set up properly the first time.

The simplest reliable approach combines two things: automatic cloud backup for anything created day to day, like phone photos, and a periodic manual backup of anything that lives only on one device, like a folder of work documents on a laptop that isn’t synced anywhere. Most phones and laptops already include a built-in option for the first part; it usually just needs to be switched on and pointed at enough storage. For the second part, an external drive or a second cloud folder, updated every month or two, covers the gap.

It’s worth testing a backup at least once by actually restoring a file from it, rather than assuming it worked because a setting was turned on. A backup nobody has ever successfully restored from is really just a folder with someone’s hopes in it.

It’s worth testing the whole chain at least once a year: pick one file at random and confirm it can actually be opened from the backup, not just that the backup process completed without an error message.

A backup system that’s simple enough to actually maintain beats an elaborate one that gets set up once and quietly forgotten, since the best backup is always the one that’s still running months later.

In the end, the people who get the most out of technology at home tend to be the ones who treat it as something to periodically tidy and check in on, not something that’s set up once and left alone indefinitely.

Treating a device or a system this way, as something worth a few minutes of attention now and then, tends to prevent most of the bigger headaches that show up later, when a small issue has had months to quietly turn into a bigger one.
